1. REGISTRATION, SPACE & TABLE HIRE FEES
Registration Fee R100,00
Space Hire (1m x 2m) R50,00 per space
Table Hire R10,00 per table per day
The Regstration fee is payable on or before 31st October 2010.
NB. Completed registration forms must be returned with your payment.
The space fee and table hire fee is payable on or before 31st October 2010.
Example of how to calculate total cost :
Exhibitor requires two spaces and needs to hire 1 table (exhibitor has 1 table of their own).
Registration = R100
Space @ R50 x 2 = R100
Table Hire @ R10 x 1 table x 10 days = R100
TOTAL = R300
2. APPROVAL OF ARTICLES
All articles must be HAND-MADE/HOME INDUSTRY items and, if requested, must be presented to the Rotary Club on or before 31st October 2010 for approval and code allocation. Only articles that have been presented to, and approved by the organizers will be allowed to be exhibited. Items may be either emailed or faxed.
3. EXHIBITOR’S RESPONSIBILITY
The exhibitor is responsible for the preparation and setting up of his/her table/s on Sunday 12th December 2010 and should advise the organizers well in advance of space required. Tables should be neatly covered with a tablecloth or a suitable material covering (including the legs). The exhibitor must ensure that he/she has sufficient stock to last the full duration of the market.
4. MARKING OF ARTICLES
• A sales code will be issued to each exhibitor.
• The code and price ONLY must appear on each article.
• The code and price must be easily and clearly indentifiable on the article.
• Prices should be rounded off to the nearest RAND.
• Prices and codes must preferably be typed or printed out by computer (not hand written).
• Please note: Unclear prices and codes may lead to incorrect payouts to exhibitors!

5. MARKET CLOSE-DOWN
Exhibitors are reminded that they may NOT remove their exhibits, tables etc. before the “pack-up” date and time stipulated by the organizers. The market will CLOSE on Wednesday 22nd December 2010 at 13h00 and exhibitors are requested to PLEASE COLLECT their remaining stock between the hours of 13h00 to 17h00. Should this present a problem, kindly discuss the matter with the organizers well in advance.

6. PAYMENT TO EXHIBITORS
Exhibitors will be paid by the Warmbaths Rotary Club treasurer within 14 days of the closing of the Market. Under no circumstances will sales figures will be given out telephonically, neither during or after the closure of the Market. A statement of your total sales will be forwarded to each exhibitor and payment will be made directly into the exhibitor’s Bank Account, alternatively a cheque will be made out and posted to the exhibitor. The Organizers will deduct 20% from the exhibitor’s sales turnover.
7. GENERAL
• The organizers are responsible for the advertising, marketing, administration and sales of the Rotary Christmas Market.
• The organizers undertake to ensure that necessary measures are put in place to prevent possible theft, loss or damage. Security Guards will be in attendance for the duration of the Christmas Market.
• The organizers may not be held responsible for any theft, loss or damage incurred and the exhibitor, by affixing his/her signature to the Registration Form, thereby indemnifies the Warmbaths Rotary Club, the organizers, the security company and Forever Resort – Aventura Warmbaths from any claim or risk whatsoever.
• The Exhibitor is welcome to be in attendence at his/her stand/s for the duration of the Market, should he/she so wish.
• The Exhibitor, by affixing his/her signature to the Registration Form, consents to the deduction of 20% from his/her total sales turnover.
• The exhibitor participates in the Rotary Christmas Market entirely at their own risk.
